The guide is designed to assist those business areas which, form time to time, may need to call off contracts within existing framework agreements. It does not cover contracts and procurement documentation managed centrally by Group Procurement.
Purpose
This Quick Guide was prepared jointly by Information Governance and Group Procurement to help business areas ensure the efficient and consistent management of documentation, in all formats, of the procurement process for Call Off Contracts within Framework Agreements. The Factsheet has been prepared at the request of Internal Audit, which recently identified inconsistencies in the way this documentation has been managed in the past, leading in some (but not all) cases to inadequate levels of control and to problems in locating relevant documentation for post-project reviews, reviews of supplier performance, claims and disputes and Freedom of Information requests.
